The selection starts with three exit reasons: total cost and predictability, free-tier limits, and a need to manage projects beyond invoicing. For each alternative, we checked official documentation for timesheets, approvals, budgets, labor cost, margin, invoicing, privacy, and the monthly full-plan price. The comparison publishes only conclusions verified by the cited sources.
Invoicing has its own weight because leaving Harvest can change the finance workflow. A seat price is not treated as the final cost where minimums or usage charges apply. We did not claim hands-on testing; scores summarize the dated sources on this page.
Why Harvest's new pricing is a reason to consider switching
Harvest still advertises a per-seat price, but that amount can now be only the base. On Teams and Enterprise, Flex adds charges for usage above the included allowance. It uses the previous billing period's activity across projects, clients, tasks, and invoicing; projects, clients, and tasks count only when time was tracked against them during that period. For new accounts, this usage component normally starts at the second paid renewal.
Unlimited removes the monthly variation but adds a fixed usage fee on top of the seats. The problem for a public comparison is that the [Harvest calculator](https://www.getharvest.com/pricing-calculator) multiplies seats only: it warns that additional usage is billed, but does not display the allowances, overage bands, or fixed Unlimited fee. According to [Harvest's own Help Center](https://support.getharvest.com/hc/en-us/articles/31447072608397-Information-about-pricing-plans), customers must open Settings → Billing → My usage billing or simulate changes inside their account to see the applicable total.
This means the bill can rise without the team adding seats. Harvest's official documentation gives an example where an initial US$44 seats-only charge becomes US$404 when usage is added at renewal. That is not a forecast for every account, but it explains why agencies with many projects, clients, tasks, or invoices may find the total less predictable and evaluate alternatives.

Rabbiit structures time → approved week → cost → margin. It also marks hours as billed and exports reports, but does not issue invoices. Productive is the option for teams that want a broader PSA layer; the trade-off is accepting more depth and implementation in exchange for centralization.
When billing must stay with time
Paymo combines tasks and billing; Productive connects projects, resources, budgets, profitability, and billing in a PSA; Time Doctor adds attendance and productivity through monitoring. They solve different exit reasons and may require more cost or operational change. Staying on Harvest is also rational when its collection workflow already works.
